Crown Concepts (Pty) Ltd (“Crown Concepts”, “we”, “us”) respects your privacy. This policy explains how we collect, use, share and protect personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Crown Concepts (Pty) Ltd is an event experience and visual production company based in Durban, KwaZulu-Natal, South Africa. We are the responsible party for the personal information described in this policy.

What we collect
- Enquiry and booking details you give us through our website forms, email or WhatsApp: your name, email address, mobile number, company, event type, date, times, venue, guest numbers, venue logistics, branding and delivery preferences, how you heard about us, and any files you upload (for example a brand guide, logo or floor plan).
- Messages you send us through the contact form, email, phone or WhatsApp.
- Event content: photos and videos of guests captured during an event we are booked for.
- Billing information needed to quote, invoice and receive payment.
- Basic technical information that any website receives, such as your browser type and IP address, used to keep the website secure and working.
Why we use it
- To reply to your enquiry, check availability and prepare a proposal.
- To plan and deliver the event experience you book, including creating and delivering event content.
- To send you information about your booking, invoices and payments.
- To keep a record of enquiries and bookings, and to meet our legal and tax obligations.
- To protect our website and forms from spam and misuse.
- To send you news about our services, only where you have agreed to this. You can opt out at any time.
Event content and guests
Films and photos captured at an event are delivered to the guests featured in them and to the event host who booked us, through an instant sharing station, an online gallery, or both.
We only use event content in our own portfolio, website or social media where the event host has agreed and, where required, the people featured have consented. If you appear in content we have published and would like it removed, contact us and we will remove it.
Who we share it with
We do not sell your personal information. We share it only where needed to deliver our services or where the law requires it, for example with:
- the event host or organiser who booked us, for event content from their event;
- service providers who help us run our business, such as website hosting, email, cloud storage and content delivery, and banking or payment providers;
- authorities, where we are legally required to do so.
Our service providers may only use your information to provide their services to us, and must keep it secure and confidential.
Information stored outside South Africa
Some of our service providers, such as email and cloud storage providers, may store information on servers outside South Africa. Where this happens, we make sure the information receives a level of protection similar to POPIA, as the law requires.
How long we keep it
We keep personal information only for as long as we need it for the purposes above, or as long as the law requires. For example, financial records are kept for the period required by tax law. Enquiries that do not become bookings are deleted when they are no longer needed.
How we protect it
We take reasonable technical and organisational steps to protect personal information against loss, misuse and unauthorised access, including secure hosting, access controls and spam protection on our forms.
Cookies
Our website uses the cookies it needs to work properly. If we add analytics or marketing tools that use cookies, we will update this policy and, where required, ask for your consent.
Your rights
Under POPIA you may ask us to:
- confirm whether we hold personal information about you and give you a copy;
- correct or update your information;
- delete your information where we no longer have a lawful reason to keep it;
- stop using your information for direct marketing;
- withdraw consent you have given us.

If you are not satisfied with how we handle your information, you may lodge a complaint with the Information Regulator of South Africa: inforegulator.org.za.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it took effect.
